The short version: barbers own their client relationships, we look after the data so they can run their business, and we never sell it. Here are the details, in plain language.

1Who is responsible for what

Imperial Bookings provides software that barbers and barbershops (“shops”) use to run a website, take bookings and keep client records. There are two kinds of information we handle, and responsibility differs for each:

  • Your account. When you sign up for Imperial Bookings — as a barber, shop owner, team member or a client with an account — we decide how that account information is used. For this information we are the controller.
  • A shop's client records. When a client books with a shop, the shop decides what to collect and how to use it. The shop is the controller; we process that information on the shop's behalf and only to provide our service to them.

If you booked a haircut and have a question about your information, the shop you booked with is usually the right first contact.

2What we collect

  • Account details — name, email address, password (stored only as a secure hash), and, if you sign in with Google, the name, email and profile photo Google shares. We do not request access to your Google Calendar, Gmail or contacts.
  • Shop details — business name, address, contact details, hours, services, prices, policies, photos and website content.
  • Booking details — for each appointment: the client's name, email, phone number if the shop asks for it, the service, time, barber, any notes the client adds, and the booking's status.
  • Client records kept by shops — visit history and any private notes, preferences or reference photos a shop adds. These are visible only to that shop's team.
  • Payments — if a shop takes online payments, card details go directly to Stripe. We receive the payment status, amount and a reference, never the full card number.
  • Technical information — the essentials to keep the service secure and working, such as IP addresses in server logs and rate-limiting records (stored as one-way hashes), and session cookies that keep you signed in.

3How we use it

  • To run the service: show shop websites, take and manage bookings, send confirmations and reminders, and process payments.
  • To keep accounts secure: verify email addresses, prevent abuse and investigate problems.
  • To bill shops for paid plans.
  • To contact account holders about their account, changes to the service or to these terms.

We don't sell personal information, we don't use a shop's clients for our own marketing, and we don't show advertising. Shop websites measure visits in aggregate without tracking cookies.

4Who we share it with

We share information only as needed to provide the service:

  • The shop you book with sees your booking details and the history of your visits with them.
  • Service providers that host our database and website, deliver email, and process payments (Stripe). They may only use the information to provide their service to us.
  • Authorities, when we're legally required to, or to protect people from harm.

5How long we keep it

Account and shop information is kept while the account is active. A shop can delete its client records, and an owner can delete the shop; we then remove the data from our live systems, with backups expiring on their normal schedule. Some records — such as payment records — may be kept longer where the law requires it.

6Your choices and rights

Depending on where you live, you may have the right to access, correct, export or delete your personal information, or to object to how it's used. Account holders can update most details from their account settings.

For a shop's client records, contact the shop — they control that information, and we'll help them respond. For anything else, contact us at our contact page.

You can turn off marketing emails from a shop at any time using the link in the email; booking confirmations and reminders are part of the service.

7Security

Each shop's data is separated by access rules in our database, private notes and photos are never public, management links use long random tokens that we store only as hashes, and connections are encrypted. No system is perfectly secure; if we learn of a breach that affects you, we'll tell you and the relevant authorities as the law requires.

8Children

Imperial Bookings accounts are for people 16 and over. A parent or guardian may book an appointment for a child; the booking details are then the parent's.

9Changes and contact

We'll update this page when our practices change, and tell account holders about significant changes before they take effect. Questions? Contact us at our contact page.
